Manage billing for an organisation
How to manage an organisation's billing in preeco | hinweisgeber: check the costs and delivery period on the “Billing” tab, use the price matrix for planning, and extend, cancel or reactivate the subscription.
In preeco | hinweisgeber every organisation has its own subscription with a defined delivery period. The “Billing” tab shows the current costs and the subscription status – and lets you extend the term, cancel or reactivate the subscription directly in the application.
Prerequisites
- You are on the “Billing” tab of an organisation's detail page.
- To make changes, you need the edit permission for the organisation.
- The “Extend term”, “Cancel” and “Reactivate” buttons are only visible to teams configured as service providers.
Check the costs
The “Cost” section shows what the organisation is currently billed for:
- “Number of employees” – the booked employee category the price is derived from.
- “Cost” – the annual price net plus VAT.
- “Delivery period” – start and end date of the current delivery period.
Understand the price matrix
Below the subscription section, the price matrix lists the annual prices for all available employee categories. Use it as a reference before you extend a term or book a different category – it shows in advance which annual price applies to the next category up.
Extend the term
- In the “Cost” section, click “Extend term”. A side panel opens with the title “Extend term”.
- Adjust the desired parameters, such as the delivery period and the employee category.
- Click “Save”. The new values appear immediately in the “Cost” section.
Cancel the subscription
- In the “Subscription” section, click “Cancel”. A side panel opens with the title “Cancel subscription”.
- Confirm the cancellation and click “Save”.
A subscription can only be cancelled at the end of the term. The organisation can then only be used until the end of the delivery period; after that, all data of this organisation is deleted. The “Subscription status” changes from “Active” (green) to “Subscription cancelled as of: [date]” (red).
Reactivate the subscription
- In the “Subscription” section, click “Reactivate”. A side panel opens with the title “Reactivate subscription”.
- Confirm the reactivation and click “Save”. The status changes back to “Active”.
If the message “Team has no subscription — Your team does not have an active subscription. You must renew it first.” appears, the parent team subscription has been cancelled as well. Reactivate the team subscription first under “Settings → Billing”, then repeat the step.
Tip: the organisation subscription is usually linked to the team subscription – unless “Delivery period independent of the team subscription term” was selected when the organisation was created. Check both terms before you extend.
