Invite a user

In preeco | hinweisgeber you invite new people to your team through an invitation form and define their role and 2FA obligation right away. Once you save, the person receives an invitation email and activates the account themselves.

Prerequisites

• You have the “create” permission for the “Users” module.
• You know the email address of the person to be invited. The address must not yet be registered in the team.
• You have decided which of the three roles the person should receive.

Step by step

1. Navigate to “Settings → Users”.
2. Click “Invite users”. A side panel opens with the title “Invite users”.
3. In the “User” section, enter the address of the person to be invited in the mandatory field “Email”.
4. In the mandatory field “Role”, select one of the three roles.
5. If you want two-factor authentication to be mandatory, enable the option “Enforce two-factor authentication” in the “Two-factor authentication” section. The person is then prompted to set up two-factor authentication the next time they log in and cannot use the application until this has been done.
6. Click “Save”. The side panel closes and you are redirected to the detail page of the newly created account.

The three roles at a glance

• “Administrator” — access to all reports; can manage all organisations and users.
• “Ombudsperson” — access to all reports of the organisations enabled in the “Affiliations” section.
• “Case handler” — access to individually assigned reports. Assignment is only possible if the person is also assigned to the respective organisations.

What happens next

• The invited person receives an email containing a personal invitation link and uses it to activate the account.
• The status of the account remains “Inactive” until the invitation has been accepted. Only then is a login possible.

Practical tip: if a person already has an account in another team and you use the same email address, no new account is created — the existing account is added to the new team instead. The invitation email is sent in any case.
