Edit a scope of application and maintain its steps

How to change the name and description of an existing scope of application and maintain its steps, which serve your case handlers as an internal processing guide.

An existing scope of application can be refined at any time: you change its name and description, add or remove steps, and put the sequence in the right order. The steps are the internal processing guide for the people handling your cases.

Prerequisites

  • You have at least the “Show” permission for scopes of application; changes additionally require the “Edit” permission.
  • The scope of application already exists.
  • For translations, several languages are enabled in your team.

Open the detail page

  1. Navigate to “Settings → Scopes of application”.
  2. In the table, click the row of the scope of application you want to change.
  3. The page heading shows the name of the scope of application and two tabs, “General” and “Steps”. The “General” tab is active first.

Change name and description

  1. On the “General” tab, click “Edit” or select “Actions → Edit”. A side panel with the title “Scopes of application” opens.
  2. Adjust the mandatory field “Name” (max. 255 characters) and, optionally, the “Description” field.
  3. If several languages are enabled in your team, use the language selector (for example DE, EN) to switch to the language you need and maintain the translation of both fields there.
  4. Click “Save”. The page refreshes and shows the changed values. “Cancel” closes the panel without saving.

If your team has stored a DeepL API key, the translations are updated automatically in the background after saving.

Maintain the steps

  1. Switch to the “Steps” tab. If no steps exist yet, the message “No entries available” appears.
  2. Click “Edit”. The side panel “Scopes of application” opens with the “Steps” section and lists all existing steps one below another.
  3. For each step, edit the fields “Name” (placeholder New step) and “Description”.
  4. Add another step with the “New” button; it appears at the end of the list with empty fields.
  5. Change the order with the arrow buttons on each step: the up arrow moves the step one position up, the down arrow one position down.
  6. Remove a step with the button carrying the trash icon (“Delete”).
  7. If you work in several languages, use the language selector to switch the editing language and maintain the name and description of each step there as well.
  8. Click “Save” to apply all changes.

Use a template instead of starting over

If you need another scope of application similar to an existing one, select “Actions → Duplicate”. The copy takes over the name, description, all steps and all translations, receives the suffix “(Copy)” and opens immediately as its own detail page — you then adjust only the individual parts that differ.

Store a concise sequence of steps for each scope of application that matches your team’s actual processing routine. The steps are not shown in the whistleblower portal; they serve exclusively as an internal guide for the persons handling the case.
