Document the risk and measures of a report

Assess a report in preeco | hinweisgeber using probability of occurrence and severity of the impact, then derive measures with responsibility, target date and implementation status.

In preeco | hinweisgeber you assess the damage potential of a report through a risk assessment and record the follow-up measures derived from it, including responsibility, target date and implementation status. Both live on the report’s detail page in the “Information” tab.

Prerequisites

  • You have permission to edit the report (edit permission).
  • You have opened the report’s detail page and are in the “Information” tab.

Record and assess a risk

  1. In the “Risks” section, click “New”. The “Add risk” side panel opens.
  2. Under “Designation”, enter a short, meaningful title such as Breach of procurement policy, and outline the matter under “Description”.
  3. Under “Damages”, record the damage to be expected if the risk materialises.
  4. Assess the risk using the two fields “Probability of occurrence” and “Severity of the impact”. Together, both values determine the position of the risk in the risk matrix.
  5. Click “Save”. The risk then appears in the “Risks” section and in the risk matrix.

If your assessment changes while you work on the case, expand the relevant risk in the “Risks” section, click “Edit”, adjust the fields and save again.

Derive measures

  1. In the “Measures” section, click “New”. The “Add measure” side panel opens.
  2. Name the measure under “Designation” and explain it under “Description”.
  3. Under “Responsibility for implementation”, define who will carry the measure out.
  4. Enter the target date under “Implementation planned by”.
  5. Select the current state under “Implementation status” and click “Save”.
  6. Whenever the state changes, expand the measure, click “Edit”, update the status and save.

To remove a measure created by mistake or a risk recorded in error, use “Actions > Delete” and confirm the “Delete permanently?” dialog.

Practical tips

  • Create at least one measure for every risk you identify – that keeps it traceable what the assessment actually led to.
  • Keep the “Implementation status” up to date continuously rather than only when closing the report.
  • Documenting the measures demonstrates the traceability of follow-up actions required under the HinSchG.
