Create a text snippet

Create reusable text snippets for case handling so that case handlers can insert standard wording with just a few clicks while editing a report.

Text snippets let you store recurring wording once and insert it with just a few clicks while editing a report – for example standardized greetings, closing formulas or internal comments on typical situations.

Prerequisites

  • You are logged in as an active member of the team in the “Settings” area.
  • You have permission to create text snippets – only then is the “New” button visible.

Step by step

  1. In the left navigation, in the “Settings” area, click “Text snippets”. The page has the heading “Text snippets” and shows the table of existing text snippets in the section of the same name.
  2. Click the “New” button at the top right of the section. A side panel opens with the title “Create text snippet”.
  3. Under “Designation”, enter an internal designation, for example Formal closing formula. This field is required.
  4. Under “Tags”, optionally add comma-separated keywords for categorization, for example kind regards, greeting.
  5. Under “Content”, enter the actual text content of the snippet. This field is required as well.
  6. Click “Save”. You are redirected to the detail page of the newly created text snippet. If you want to close the panel without saving, click “Cancel” instead.

Finding a text snippet again

The table lists all text snippets of your team with the columns “Designation”, “Tags” and “Content”; the content is shown shortened to 50 characters.

  • Enter a term in the “Search” field – the search covers “Designation”, “Tags” and “Content”.
  • Click a column heading to sort by that column; clicking it again reverses the direction. The current sorting appears as a badge above the table.
  • Use the “Columns” button to show or hide individual columns. Clicking a table row opens the detail page of the text snippet.

Using snippets in case handling

When editing report fields, the fields that support text snippets show a corresponding selection function in the editing panel. Case handlers pick the matching snippet there instead of retyping the text.

Practical tip: assign meaningful designations and tags so that the right snippet is found quickly while editing a report. A snippet with the designation “Formal closing formula” and the tag “kind regards” is easier to find than a generic name.
