Create a new organisation – employee count, cost and registration form

As a service provider you create a separate organisation for each client. You select the number of employees for the price calculation, order the subscription for a fee, and automatically receive a registration form with its own URL.

If you operate whistleblower portals for several clients as an ombudsperson or compliance service provider, you create each client as an independent organisation. Creating it generates its own registration form with a unique URL and books the corresponding subscription.

Prerequisites

  • You have the “create” permission for the Organisations module.
  • The team subscription is active and not cancelled.
  • Your team is configured as a service provider.
  • You know the client’s number of employees – it determines the annual price.

Step by step

  1. Navigate to “Settings → Organisations”.
  2. Click the “New” button. A side panel opens with the title “Create Organisation”.
  3. In the “Designation” section, enter the client’s name in the mandatory “Organisation” field. Use the optional “Note” field for an internal remark that is visible only in Settings.
  4. In the “Cost” section, select the matching category from the “Number of employees” drop-down list. The annual price and the delivery period are then calculated and displayed automatically.
  5. If the delivery period should start on the first day of the following month, activate “Start the delivery period only from next month”. If the client’s subscription should run for a full year regardless of when your team subscription ends, activate “Delivery period independent of the team subscription term”.
  6. Check the “Cost” (net plus VAT per year) and the “Delivery period” shown below the options. If the first year differs in price, this is shown separately as “Different in the first year”.
  7. In the “Terms and conditions” section, activate the checkbox “I have the Terms and conditions read and understood them and accept them.”
  8. Click “Order for a fee”.

What happens next

  • You are redirected automatically to the detail page of the new organisation, and the message “The changes have been saved successfully.” appears briefly.
  • The organisation automatically receives a registration form with a unique URL containing a token. The form is accessible immediately.
  • The organisation’s subscription is booked with the selected parameters and is linked to the team subscription unless you selected the “Delivery period independent of the team subscription term” option.
  • On the detail page you make all further settings, such as branding, introductory texts and languages.

Practical tip: the pricing matrix below the form shows the costs for each employee count. Use this overview to select the correct category for the client before you place the order.
