Change the role of a user

How to change the role of an existing team member in preeco | hinweisgeber — from the User side panel to the effect on existing report assignments.

You want to give an existing team member more or less access to reports and settings. To do so, change the “Role” field in the “User” side panel — the new role takes effect immediately.

Prerequisites

  • You have the editRole permission for the “Users” module.
  • The role of your own account cannot be changed via this form — the role field is disabled in that case. A second person with the “Administrator” role has to make the change.

Step by step

  1. Open the detail page of the desired person via “Settings → Users → Select person”.
  2. Click “Edit” in the “User” tab. A side panel opens with the title “User”, showing the full name or the email address of the person as the side heading.
  3. In the “User” section, under the “Role” field, select one of the three options.
  4. Click “Save”. The side panel closes and the “User” tab shows the updated role.

To discard the change, click “Cancel” or close the side panel.

The three roles at a glance

  • “Administrator” — access to all reports; can manage all organisations and users.
  • “Ombudsperson” — access to all reports of the organisations enabled in the “Affiliations” section.
  • “Case handler” — access to individually assigned reports; the assignment additionally requires assignment to the respective organisations.

What happens next

  • The new role takes effect immediately.
  • Report assignments to organisations that are no longer accessible to that person are removed automatically.

Practical tip: If you move a person from “Case handler” to “Administrator” or “Ombudsperson”, all existing report assignments are removed — both of these roles receive their access automatically through their organisational affiliation. Plan the role change together with the handover of ongoing cases.
