Assign Organisations to a User

If you look after several tenants in one team, you decide per person which organisations they are responsible for. This guide shows you how to maintain a user's affiliation with one or more organisations.

Prerequisites

• You have the edit permission for the Users module.
• The organisations concerned already exist under “Settings → Organisations”.
• The person already exists as a team member.

Why affiliation determines access

Each organisation operates its own whistleblower portal with its own report inbox. Who may see an organisation's reports depends on both the role and the organisational affiliation: ombudspersons see all reports of the assigned organisations, while case handlers additionally require an explicit assignment to individual reports.

Step by step

1. Navigate to the detail page of the desired person via “Settings → Users → Select person”.
2. Switch to the “Affiliation” tab. The section shows the currently assigned organisations as a comma-separated list.
3. Click “Edit”. A side panel opens with the title “Affiliation”, displaying the person's full name or email address as the side heading.
4. In the “Affiliation” section, enable or disable the checkboxes for the desired organisations. Each organisation in the team is listed as a separate checkbox; enabled organisations are assigned to the person.
5. Click “Save”. The side panel closes and the “Affiliation” tab shows the updated list.

If you want to discard the change, click “Cancel” or close the side panel.

What happens next

• The affiliation takes effect immediately.
• Report assignments that become invalid because an organisational affiliation was removed are deleted automatically.

Practical tip

When you deselect an organisation, the person's report assignments for reports of that organisation are removed automatically. For case handlers this affects all explicitly assigned reports in the deselected organisations. So check beforehand whether another person should take over the ongoing cases.
