Activate automatic translations team-wide

With a valid DeepL API key you activate automatic translation for your entire team. Scopes of application, steps, text snippets and frequently asked questions are then translated in the background into all active team languages.

If your whistleblower system needs to be available in several languages, DeepL takes care of translating the content. This article shows how to activate automatic translation team-wide, which costs arise on the DeepL side, and how to keep an eye on your usage.

Prerequisites

  • You have the “Show Automatic translations” permission for this team.
  • To activate or deactivate the integration, you additionally need the “Edit Automatic translations” permission.
  • You have a valid DeepL API key from a DeepL API account. API access is a separate DeepL product and is booked separately – either as a paid account or as DeepL API Free with a monthly character limit.

Step by step

  1. In the left menu, navigate to “Settings → Automatic translations”. The page shows a “DeepL API” section with the current status – “Enabled” with a green indicator or “Disabled” with a red one.
  2. Click “Activate DeepL”. A side panel with the title “DeepL API” opens.
  3. Enter your key in the “DeepL API key” field. As long as this field is empty, the checkbox below it stays disabled.
  4. Tick the “Consent to data transmission” checkbox. You thereby confirm that the texts to be translated are sent to DeepL GmbH.
  5. Click “Save”. The key is validated; if it is valid, the panel closes and the status changes to “Enabled”. Use “Cancel” to close the panel without saving.

What happens after activation

  • Existing content is translated in the background into all active team languages. The process runs asynchronously – the translations are available after a short time.
  • Among others, “Scopes of application” including description and step designations, “Text snippets” and “Frequently asked questions” are translated.
  • From then on, new and modified content is translated automatically.

Keeping an eye on usage

Usage accrues on your DeepL API account and is billed there, not in preeco. If you use a Free account, a monthly character limit applies: once it is exhausted, new content remains untranslated in the additional languages. Check your usage regularly in the DeepL dashboard – especially right after the initial setup, when all existing content is translated in one go.

Deactivating automatic translations

  1. Open “Settings → Automatic translations” again.
  2. Click “Deactivate DeepL”. The action is executed immediately, without a confirmation panel, and the status changes to “Disabled”.

After deactivation, no new automatic translations are created. Translations that already exist are retained and remain available to reporting persons.
