Validate completeness and complete the reporting period
How to check the Health & Safety data of a reporting period in preeco | nachhaltigkeit for completeness, mark the period as complete, which data entry buttons are locked afterwards and how to revert the period to draft.
Before you complete a reporting period in “Own Workforce > Health & Safety”, you check the data for completeness and then mark the period as complete. This freezes data entry for the period and stores a snapshot of the metrics.
Prerequisites
- The reporting period you want to close is selected in the header bar and you are signed in to your team.
- The incidents, training records and coverage records of the period have been entered.
- All fatality investigations are closed – this check blocks the completion.
Validate completeness
- Open “Own Workforce > Health & Safety”.
- In the “Key Performance Indicators” section, open the “Actions” menu and select “Validate completeness”. The dialog of the same name opens on the side.
- Read the “Summary”, for example
6 / 6 blocking checks passedand3 / 5 advisory checks passed. Blocking checks must be passed; advisory checks are recommendations only. - Work through the “Needs attention” section. It lists the failed advisory checks with a justification, such as “Investigation closure rate ≥ 90%” with the note
Closure rate is 0%.or “Average reporting lag under 7 days”. - Review the passed checks under “Passed checks”, including “Total Recordable Incident Rate (TRIR) calculated”, “Employee Hours Worked entered”, “All incidents have Worker Type”, “All fatality investigations closed”, “Training records exist” and “No investigations open over 30 days”.
- Leave the dialog with “Close”, or start the completion directly with “Mark as complete”.
Mark the period as complete
- Open “Actions > Mark Complete”. The “Mark H&S Reporting Period Complete” dialog opens.
- Check the organization and period named in the dialog as well as the summarized metrics “TRIR (ESRS)”, “LTIFR (ESRS)”, “High-Consequence Injury Rate (HCIR)”, “Total Recordable Incidents”, “Fatalities”, “High-Consequence Injuries” and “Total Lost Days”.
- Confirm with “Confirm”.
What is locked afterwards
- The “Add Incident”, “Add Training Record” and “Add Coverage” buttons are hidden – data entry for the period is locked.
- In the “Actions” menu, the “Revert to Draft” entry appears instead of “Mark Complete”.
- The application saves a validation snapshot of the metrics and check results for the period; published reports use exactly this snapshot.
- Completion and revert are logged in the activity history.
Revert the period to draft
- Open “Actions > Revert to Draft”. The “Revert H&S Period to Draft” dialog asks “Are you sure you want to revert this reporting period to Draft?” and notes that editing of incidents, training records and coverage will be re-enabled.
- Confirm with “Return to draft”. The data entry buttons are then available again.
Practical tip: the completion status applies per organization and reporting period. Complete all organizations inside your reporting boundary before you publish the report – completion is reversible, but the snapshot taken at publication is not.
