Approve an E1 report – draft, review and finalization
Take an E1 disclosure report through the approval workflow in preeco | sustainability: submit, review, request changes, approve and finalize it – including the status changes and the roles involved.
Every E1 disclosure report is approved under the four-eyes principle before it is permanently fixed in an immutable state. You reach all workflow actions through the “Actions” button on the “Overview” tab of the report detail page; which entries appear there depends on the current status.
Prerequisites
- You are signed in to your team and have the administrator role.
- An E1 disclosure report is in the status required for the step you want to take.
- Author and reviewer should be different people; both are shown on the “Overview” tab in the fields “Created By” and “Reviewed By”.
The status sequence
- “Draft” – the sections can be edited.
- “In Review” – the report is locked for editing.
- “Changes Requested” – sent back to the author, the sections can be edited again.
- “Approved” – the review is confirmed, finalization is still pending.
- “Finalized” – permanently locked, the version number has been increased.
Step by step
Submit the report for review (status “Draft”)
- Under “Actions”, select “Submit for Review”.
- In the side dialog, enter the word
SUBMITin the input field “Type SUBMIT to confirm”. - Click “Submit for Review”. The status changes to “In Review”, the sections are locked and the calculated completeness level appears as a status indicator (for example “0% Complete”).
Review the report (status “In Review”)
- Under “Actions”, select “Review Report”.
- In the section “Review Details”, optionally enter “Review Notes (optional)”.
- To release the report, first select the checkbox “I confirm that I have carefully reviewed all sections of the disclosure and approve this report.” and click “Approve”. The status changes to “Approved”.
- If rework is needed, click “Request Changes”. The status changes to “Changes Requested”. From the second cycle onwards the dialog shows the note “Review cycle [n] of 5”; no more than five cycles are provided per version.
Implement changes and resubmit (status “Changes Requested”)
- Read the yellow notice box “Changes Requested” at the top of the detail page; it contains the reviewer’s notes.
- Revise the disclosure sections that were objected to.
- Under “Actions”, select “Resubmit for Review” and optionally record what has changed in the field “Notes (optional)”.
- Click “Resubmit for Review”. The status changes back to “In Review”.
Finalize the report (status “Approved”)
- Under “Actions”, select “Finalize Report”.
- Enter the word
FINALIZEin the input field “Type FINALIZE to confirm”. - Click “Finalize Report”. The status changes to “Finalized”, the version number is increased (for example “v1” → “v2”) and the current state is saved as a snapshot.
After finalization
Corrections are only possible through a new version: under “Actions”, select “Create New Version” and confirm the dialog. The report returns to “Draft” status, review notes and review cycles are reset, and the finalized version remains available as a snapshot. Every status change is logged in the activity history, and the people involved receive an email notification.
Practical tip: only finalize a version once the completeness indicator is green (at least 80%). Finalization cannot be undone.
