Upload a utility bill as supporting documentation

Consumption values must be verifiable during the external audit. This article shows how to attach a utility bill as a supporting document to an energy dataset – either directly when creating it or later when editing it.

Prerequisites

• You are signed in to your team and have permission to create or edit energy datasets.
• At least one active reporting period and at least one organization are created for the team – for facility-specific entries, additionally at least one facility.
• For later uploads: the reporting period of the dataset is not locked.
• The bill is available as a PDF, JPG, JPEG, or PNG file.

Formats and size limits

• Accepted formats in the “Supporting Documents” section: PDF, JPG, JPEG, PNG.
• A maximum of 20 MB per file.
• Up to 10 files per energy dataset.

Attach the document while creating the dataset

1. Navigate to “Climate → Energy Consumption” in the left-hand menu.
2. In the “Energy Datasets” section, click “Add Energy Dataset” in the top right.
3. In the “Add Energy Dataset” dialog, complete the mandatory details for “Organization”, “Facility”, “Reporting Period”, “Energy Details”, “Consumption”, and “Data Quality”.
4. Upload the utility bill in the “Supporting Documents” section.
5. Click “Create Dataset”. Use “Cancel” to discard the entries.

Add the document later

1. Open “Climate → Energy consumption” and click the desired row in the “Energy records” table.
2. Click “Edit” in the “Record data” tab.
3. In the “Edit energy record” dialog, use the “Supporting documents” section to upload additional documents or remove existing ones.
4. In the “Reason for change” section, enter a justification for audit purposes in the mandatory field “Reason for the change”, for example Meter reading reconciled with utility invoice no. 4711.
5. Click “Update energy dataset”.

Check the attached documents

On the detail page of the dataset, the “Supporting documents” tab lists every document uploaded during creation or editing. If no documents are attached, the tab shows the notice “No supporting documents” – a reliable signal that the dataset is not yet backed by evidence for the external audit.

Read the bill with AI

Alternatively, you can process a bill on the “Upload utility bill” page: step “01 Upload” accepts a PDF, JPG, or PNG file of up to 20 MB under “Utility bill file” and optionally a “Facility (optional)”; “AI Extraction” starts the extraction, and you review the values in step “02 Confirm”. The “AI Extraction” button is active only if an AI integration is configured for the team under “Settings → Integrations”.

Practical tip: store the utility bill as supporting documentation right when you create the dataset. During the external audit, consumption values must be verifiable – assigning supporting documents afterward is significantly more time-consuming.
