Review a supplier submission – make the review decision
Once a supplier has answered the questionnaire, check the submitted emissions data in the “Validate submission” dialog and make a review decision: approve, request revision, or reject.
As soon as a supplier has answered the questionnaire via the supplier portal, review the submitted emissions data and decide whether it enters your Scope 3 inventory. Only approved submissions can afterwards be transferred with “Allocate emissions”.
Prerequisites
- The data request has the status “Submitted”, meaning the supplier has responded. The supplier detail page shows the status marker “Submitted — Review pending”.
- You are signed in to your team and have the administrator role.
Open the review dialog
- Open the supplier detail page and choose “Actions → Validate submission”.
- Alternatively, open the “Data Requests” overview and choose “Actions → Review submission” in the row of the request.
- The side dialog “Validate submission” opens on the right.
Check the delivered data
The dialog summarises everything you need for the decision:
- “Request details” with “Supplier”, “Contact email”, “Reporting period” and “Status”.
- “Submitted emissions data” with “Scope 1 emissions (tCO2e)”, “Scope 2 emissions (tCO2e)”, “Scope 3 emissions (tCO2e)”, “Total emissions (tCO2e)”, “Total revenue”, “Total production volume”, “Methodology” and “Verified data” (Yes/No, i.e. whether the supplier indicated external verification).
Run AI validation (optional)
- In the “AI validation” section, click “Run AI validation”.
- The same section then shows a “Quality score” (for example
0.60) as well as the lists “Issues:” and “Suggestions:” pointing at missing or unusual values.
Make the review decision
- In the “Decision” selection field (a mandatory field), choose one of the options “Approved”, “Revision requested” or “Rejected”.
- If needed, enter “Review notes”, for example the justification for your decision.
- Click “Submit review”. Use “Cancel” to discard the process.
What happens next
- The supplier automatically receives an email about the decision.
- The status of the data request and the “Review decision” column in the “Data Requests” overview are updated.
- With “Approved”, the supplier's engagement status changes to “Completed”, the values appear on the detail page in the “Supplier-submitted data” section, and the “Allocate emissions” button is shown in the header area.
- The decision is logged in the “Engagement activities timeline”, an approval as the entry “Accepted”.
Practical tip: if only individual values are missing, use “Revision requested” instead of a rejection. The supplier can then improve the response in a targeted way through their portal access, without you having to create a new data request.
