Report a corruption incident

Record corruption and bribery incidents in accordance with ESRS G1-4 in the Anti-corruption module and document the handling from reporting through investigation to closure.

Use the side dialog “Report corruption incident” to record a confirmed or unconfirmed corruption incident in accordance with ESRS G1-4, then document the investigation, the status history and the outcome through to closure.

Prerequisites

  • At least one active reporting period has been created for the team.
  • You are signed in to your team and have the administrator role.

Report an incident

  1. Open “Governance → Anti-corruption”.
  2. In the “Corruption incidents” section, click “+ Report incident” in the top right. The side dialog “Report corruption incident” opens.
  3. In the “General” section, complete the mandatory fields “Date of incident”, “Reporting date”, “Type of incident” (Bribery, Embezzlement, Fraud, Facilitation payment, Kickback, Conflict of interest, Other), “Severity” (Low, Medium, High, Critical) and “Description”.
  4. In “Reporting channel”, enter the channel through which the incident became known (placeholder Enter reporting channel, for example the whistleblower hotline).
  5. Optionally add the country affected in the “Geography” field via “Select country”.
  6. Click “Create incident”.

After saving, the confirmation “Corruption incident reported.” appears and the application opens the incident detail page “Incident #N” directly, with the status Reported.

Document the handling

  1. On the detail page, click “Edit” in the top right. The side dialog “Edit incident” opens.
  2. In the “Investigation” section, record the “Investigation lead” and the “Investigation notes”.
  3. In the “Legal & Financial” section, capture “Legal proceedings”, “Financial impact”, “Number of convictions”, “Fine amount” and “Reporting obligations fulfilled”.
  4. In the “Results” section, document the “Remediation measures”, “Disciplinary measures”, “Findings” and “Preventive measures”.
  5. Click “Save”. The confirmation “Corruption incident updated.” appears.

Advance the status

  1. On the detail page, click “Advance status”. In the dialog of the same name, the “Current status” section shows the existing “Status”.
  2. In the “Status transition” section, select the “Next status”. The selection field only offers permitted subsequent statuses: ReportedUnder investigationPreliminary findingsConfirmed or UnconfirmedRemediated or Closed.
  3. In the “Investigation notes” section, enter the required note of at least 100 characters.
  4. Click “Advance status”. The confirmation “Incident status updated.” appears and the status badge is updated.

When you close a confirmed incident directly (ConfirmedClosed), the dialog additionally displays the “Justification” section, because closing without remediation measures must be justified. Once the status is Closed, the “Advance status” button is no longer available and the incident is no longer counted in the “Open incidents” metric on the overview page.

Practical tips

  • Record the incident immediately after it becomes known, using the actual reporting date – the difference between the incident date and the reporting date is a common audit point for the effectiveness of the reporting channel.
  • Document every status change with meaningful investigation notes. The 100-character minimum is deliberate, so that the investigation history remains comprehensible for external auditors.
  • Incidents and their outcomes are included in the generated ESRS G1 report document (G1-4).
