Record finding and corrective action

How to document a finding from a supplier assessment and track its remediation: classify the finding, describe the evidence, set the regulatory reference and link a corrective action with a responsible party and a due date.

Last updated:

A finding records a deviation from a supplier assessment, for example a non-conformance from an audit. Together with the linked corrective action it forms a closed evidence trail: what was found, who fixes it by when, and whether the remediation was verified.

Prerequisites

  • The related supplier assessment exists and is not completed.
  • For the corrective action, the assessment contains at least one finding to which the action can be assigned.

Record the finding

  1. Open the assessment detail page and switch to the “Findings” tab.
  2. Click “Add Finding”. The “Add Assessment Finding” dialog opens on the right.
  3. Complete the “Classification” section: “Subtopic” (mandatory field) with the S2 subtopic area, for example Health and Safety, Forced Labour or Adequate Wages; “Finding Type” with Non-Conformance (preselected), Observation or Good Practice; and “Severity” with Low, Medium, High or Critical.
  4. Complete the “Details” section: “Description” for the facts of the finding and, optionally, “Description of Evidence” for photo or document evidence.
  5. Set the “Regulatory Reference”. If you assign the finding to the German due diligence obligations, choose LkSG (German Supply Chain Act); other options include CSDDD (EU 2024/1760), UN Guiding Principles, ILO Core Conventions and Multiple.
  6. In the “Remediation” section, use the “Corrective Action Required” checkbox (enabled by default) to control whether a corrective action is required.
  7. Click “Create”. The finding appears with the status Open in the table of the “Findings” tab.

Record the corrective action

  1. On the assessment detail page, switch to the “Corrective Actions” tab.
  2. Click “Add Corrective Action”. The “Add Corrective Action” dialog opens on the right.
  3. In the “Action details” section, use “Select related finding” to choose the associated finding. Entries use the format subtopic — description.
  4. Enter “Description”, “Responsible Party” and “Due Date”.
  5. Set “Priority” (Low, Medium preselected, High, Critical) and “Status” (Open preselected, In Progress, Completed, Verified).
  6. Click “Create”.

What happens next

  • The action appears on the “Corrective Actions” tab and in the “Corrective Actions” section of the associated finding.
  • The status of the finding is updated automatically based on the linked corrective actions.
  • If the finding has the highest severity of all open findings, this is displayed as a label in the assessment page header.
  • Open actions are counted in the “Overview” under the “Open Corrective Actions” metric.

If you already select the status Completed or Verified when creating the action, the dialog additionally requires completion details. For a defensible evidence trail it is therefore worth creating the action as Open and only advancing its status once the remediation is actually in place and verified.
