Import training records
Upload many training records at once from an LMS export instead of entering each one by hand. The bulk import reads CSV or XLSX files into the selected reporting period and previews every row before writing it.
If your trainings run in a learning management system, there is no need to re-enter each attendance by hand: the bulk import uploads many training records at once from a CSV or XLSX file into the currently selected reporting period. It is the fastest route to reliable learning and development metrics under ESRS S1-13.
Prerequisites
- The target reporting period is selected in the header bar — all imported records are assigned to it.
- The organization names in the import file exactly match the legal name of an existing organization in your team.
- All completion dates fall within the selected reporting period.
- The file is UTF-8 encoded and no larger than 10 MB.
Step by step
- Open “Own Workforce > Training & Development”.
- In the “Key Performance Indicators” section, open the “Actions” drop-down menu and select “Import Training Records”. The side dialog guides you through the import in three steps: “01 Configure”, “02 Preview” and “03 Result”.
- In the “Upload” section, click “Download template”. You receive
training-record-template.zipcontaining the templatetraining-record-template.csvand the reference filetraining-record-allowed-values.csv. - Fill the template from your LMS export. The columns “Employee Category”, “Gender”, “Training Type” and “Topic Category” expect internal values such as
operational,male,internalorsustainability— the permitted values for each column are listed intraining-record-allowed-values.csv. Column headers must match the template exactly. - Select the finished file in the “Import file” field. The dialog then displays the file type and file size.
- Under “Options > Conflict resolution”, choose between “Skip existing records” and “Overwrite existing records”. Click “Continue to preview”.
- Check the “Preview”: it shows the number of rows read (“Total”) and the number of valid rows (“Valid”), and lists every row with its status and values. Invalid rows are marked with the cause of the error.
- If all rows are valid, click “… Import rows” (the button shows the number, for example “Import 2 rows”). Otherwise use “Back” and correct the file.
- In the “Result” step, review the summary with “Status”, “Imported”, “Failed”, “Skipped” and “Total rows”. Use “Retry import” to start another run; “Close” ends the dialog.
What happens next
- The imported records appear with status “Active” in the “Training Records” table.
- On a record's detail page, “Bulk Import” is shown as the “Data source” — so it stays traceable which figures came from the LMS.
- The metric tiles on the overview page are recalculated.
Practical tip: in the “Training Program” column, enter exactly the name of an existing training program if the records are to be assigned to a program — otherwise leave the column empty. Program names that cannot be resolved lead to invalid rows in the preview.
