Generate an EUDR due diligence statement (DDS)
How to bundle approved due diligence records into a DDS with the “Generate Due Diligence Statement” assistant, add the operator information, and then track the submission via TRACES.
In preeco | nachhaltigkeit you combine your approved due diligence records into a due diligence statement (DDS) and then track its submission via the EU system TRACES. The EU Deforestation Regulation requires this statement before products are placed on the market.
Prerequisites
- At least one due diligence record has the status “Approved” and is not yet linked to a completed DDS.
- You are signed in to your team and have the administrator role.
Open the assistant
- Open “Deforestation → Due Diligence Statements”.
- Click “Generate New DDS”.
Alternatively, start the assistant directly from an approved due diligence record using the “Generate DDS” action on its detail page.
Step by step
- In the step “Step 1: Select records”, select the approved due diligence records to include. For each record you see the product, country of production and status; the number of selected records is tracked. Click “Next”.
- In the step “Step 2: Review and complete”, check the summary of your selection (Count, Commodities, Countries).
- Under “Operator information”, enter the “Operator name” and the “Country”, and optionally the “Registration number” and “Address”.
- Under “Statement details”, select the “DDS type”. If you choose the type
Trader DDS, the additional field “Referenced Operator DDS” appears. - Enter the “Date of transfer to the operator”, and optionally the date of transfer to the trader.
- Add “Additional information” if required.
- Click “Complete DDS”. Use “Back” to return to the record selection.
If no suitable records are available, the assistant points out that at least one record with the status “Approved” must exist that is not already linked to a completed DDS.
Track the submission via TRACES
The new DDS is created as a draft and listed in the “Due Diligence Statements” table. The submission itself takes place in the EU system TRACES; you document the result on the statement's detail page.
- Open “Deforestation → Due Diligence Statements” and click the statement in the table.
- From the “Actions” menu, select “Capture EU reference” and enter the EU reference number and the related information in the “DDS status update” section.
- Then confirm the statement with “Mark as confirmed”. The “Status” section now shows the updated “Submission status”.
- In the “Forwarding to downstream traders” section, use “Record new forwarding” to document who you passed the reference number on to.
Good to know
- A DDS can only be created from approved due diligence records — review and approve them before you start the assistant.
- As long as no EU reference number has been captured, the detail page shows “Not yet submitted”.
- You withdraw a submitted statement via “Actions → Withdraw” with a “Justification for withdrawal”; this action cannot be reversed.
