Create organizations and facilities via bulk import
Instead of creating every legal entity and every site one by one, preeco | nachhaltigkeit lets you import whole lists from a CSV or Excel file. This guide covers the bulk import for organizations and facilities, the template files, and how to deal with rejected rows.
During initial setup, your group structure and site list usually already exist as a spreadsheet. Bulk import transfers those records in a single pass — organizations first, then the facilities that belong to them.
Prerequisites
- You are signed in to your team.
- Importing “Organizations” requires the administrator role; importing “Facilities” requires a role with edit permission.
- The owner organizations of the facilities you want to import already exist — so always import the organizations first.
Import organizations
- In the left menu, select the menu item “Settings”. The “Organizations and Facilities” page loads.
- In the “Organizations” section, click “Bulk Import” at the top right. The “Bulk Import of Organizations” page opens.
- In the “Download template” section, use “Download Excel Template” or “Download CSV Template” to obtain the empty template file. The table next to it lists every expected column and its permitted values.
- Fill in the template. The required fields are
entity_nameandbusiness_description. Optional fields includelegal_form,country,registration_number,nace_code,nace_code_secondary,employee_count,size_classification,parent_entityandownership_percentage. - In the “Upload file” section, click “Import File” and select your completed CSV or Excel file. The application validates the file and creates the organizations it contains.
- Check the result in the “Organizations” table. Relationships imported via
parent_entityandownership_percentagealso appear under “Structure of Legal Entities”.
Import facilities
- On the same page, click “Bulk import” at the top right of the “Facilities” section. The side dialog “Import facilities in bulk” opens.
- In the “Upload CSV file” section, use “Download CSV template” to obtain the template with the expected columns, then fill it in.
- Select the completed file in the mandatory field “CSV file” and click “Upload and validate”. The application checks the file and creates the facilities it contains.
- Use “Cancel” to close the dialog without importing.
Avoiding and fixing errors
- Stay within the limits: a maximum file size of
10MB and1,000rows per import. - The primary NACE code is a single level 4 code (for example
62.01); enter several secondary codes as comma-separated values (for example62.02, 62.09). size_classificationonly accepts the valueslarge,sme,listed_smeandmicro. Leave the column empty and the application calculates the size class from the number of employees.ownership_percentageexpects a value between0and100and is intended for subsidiaries or subordinate entities only.- Referenced master data must match the stored names exactly — this applies to
parent_entityas well as to the owner organization of a facility. - If validation rejects rows, correct them in your file and upload it again.
Practical tip
In the import file, enter the parent companies first and the subsidiaries with a filled-in parent_entity field only in the subsequent rows. This allows the group relationships to be resolved directly during the import. Also download the template again each time instead of reusing an older copy — only then do the column order and mandatory fields match the current state of the application.
