Create a reporting period
How to create a reporting period for your financial year in preeco | nachhaltigkeit and activate it. Without an active reporting period, the ESRS modules cannot record any data against the organization.
The reporting period is the time frame of your ESRS reporting: it represents the financial year for which materiality analyses, GHG inventories, climate targets and metrics are collected. In this guide you create a reporting period and move it to the “Active” status.
Prerequisites
- You are signed in to your team and have an active membership with the administrator role. Other roles can read reporting periods, but cannot create them or change their status.
- At least one active organization of the type “Parent Company” or “Standalone Entity” exists for your team. Subsidiaries, joint ventures and associated companies are not offered in the organization selection.
Create the reporting period
- In the left-hand menu, select “Settings” and then “Reporting periods”.
- In the “Reporting Periods” section, click “Create reporting period” at the top right. The “Create reporting period” slide-over opens on the right with the “Details” section.
- Under “Organization”, select the parent company or standalone entity subject to reporting.
- Under “Name”, enter a meaningful title, for example
FY 2025orCalendar year 2025. The name must be unique within the organization and contain at least two characters. - Set “Start date” and “End date” to the first and last day of your financial year. The end date must be after the start date.
- Confirm or change the “Reporting currency” (default preselection: “EUR – Euro”).
- If required, add a “Note”, for example on a deviation from the calendar year.
- Click “Save”. The slide-over closes and the new reporting period appears in the list with the status “Draft”.
Why the period has to be active
In the “Draft” status the reporting period has merely been created: it can still be edited or deleted freely, but no data collection activities can be performed against it yet. Only when a reporting period with the status “Active” exists for an organization do the downstream ESRS modules record their data against that period. Only one reporting period can be active per organization at any time.
Activate the reporting period
- In the “Reporting Periods” table, tick the checkbox in the row of the new period.
- Open “Actions” and choose “Activate selected”.
- Confirm the “Activate Reporting Periods” dialog with “Yes, activate”. Any currently active period of the same organization is automatically moved to the “Closed” status.
Common messages when saving
- “The end date must be after the start date.” – Start date and end date are swapped or identical.
- “The date range overlaps with an existing reporting period for this organization.” – Overlaps are prevented so that every data point stays clearly assigned to one period.
- “A reporting period with this name already exists for the selected organization.” – Choose a different name.
Practical tip: use a consistent naming convention per organization, such as FY 2024, FY 2025, FY 2026. The list sorts by start date in descending order by default – consistent names make later selection in the materiality analysis, climate target and metrics modules much easier.
