Create a facility

Facilities map your physical locations below the organization in preeco | nachhaltigkeit – offices, production sites, warehouses or data centers. Only then can energy, emissions and climate risk data be recorded location by location.

A facility is the concrete physical location below your organization – an office, a production site, a warehouse or a data center. Once a facility exists, you can record facility-specific data such as energy consumption, greenhouse gas emissions and climate risks for that exact location.

Prerequisites

  • You are signed in to your team and have a role with edit permission: “Administrator”, “Manager” or “Editor”.
  • At least one organization already exists in the team. Otherwise the “Owner organization” selection field remains empty and you cannot save the facility.
  • You have the full address of the location at hand – country, street and house number, city and postal code are mandatory.

Step by step

  1. In the left-hand menu, select the menu item “Settings”. The “Organizations and Facilities” page opens automatically.
  2. Scroll to the lower “Facilities” section and click “Add facility” at the top right. The “Add facility” page opens.
  3. In the “Basic information” section, enter the “Facility name” – it must be unique within the organization – and choose the matching “Facility type” from Office, Manufacturing, Warehouse, Retail, Data Center or Other. The default is Office.
  4. In the “Address” section, fill in “Country”, “Street and House number”, “City” and “Postal code”. The “State/Region” field is optional.
  5. In the “Physical characteristics” section, optionally add the “Floor area (m²)” and the date “In operation since”.
  6. In the “Link to entity” section, use “Owner organization” to select the organization that owns this location. The field lists all active organizations in your team.
  7. If required, add further information in the “Notes” section.
  8. At the bottom of the page, click “Create facility”. The application switches to the detail page of the new facility, and the location appears immediately in the “Facilities” table.

To discard your entries, leave the page using “Cancel” at the bottom.

What happens after saving

  • Geocoding of the stored address starts automatically in the background. The determined coordinates appear on the detail page as soon as the process is complete.
  • If geocoding fails, the detail page displays the message “Automatic geocoding failed. Please geocode this facility manually to enable the map and climate risk assessment.” You can then enter the coordinates manually.
  • The process is logged in the activity history.

Why facilities are the basis for location-based data

Each facility belongs to exactly one organization, so the reported values flow consistently into group consolidation. Energy consumption and emissions data are recorded per facility and consolidated for the Scope 1 and Scope 2 inventory, the climate risk analysis under ESRS E1 requires the geographic location of every site, and water, waste and biodiversity reporting also relies on facility master data.

Practical tip

Enter the address fields as completely and accurately as possible. The application translates the address into geocoordinates in the background, and those coordinates are used in downstream modules such as the climate risk analysis. Incomplete or incorrect addresses cause geocoding to fail and require you to correct the facility manually.
