Downloading processing activities – here's how
How to download and export your record of processing activities (RoPA) from preeco | data protection as a PDF or in other formats.
The record of processing activities (RoPA) is a central document of your GDPR compliance. In preeco | data protection you can download your processing activities at any time – for example to present to supervisory authorities, for internal audits or for archiving.
Accessing processing activities:
Navigate in the main navigation to the „Processing activities" area. There you will see an overview of all recorded processing activities of your organization.
Downloading a single processing activity:
Open the desired processing activity and look in the detail view for the download button. Click on it to download the processing activity as a PDF document.
Exporting the entire RoPA:
In the list view of the processing activities you will find an export option for the entire record. Click on „Export" or „Download" to receive all processing activities collectively as a document. Depending on your team's configuration, various export formats are available.
Export format and language:
Check whether further settings for the export format or the output language are stored in your team. This configuration influences the layout and content of the generated document.
Saving the document:
After clicking „Download", choose a storage location on your device and confirm. The document is then ready for further use.
Tip: Export your RoPA regularly and add a date to the file names. This way you have a traceable version history of your data protection documentation for any authority inquiries.
