Managing contacts
\_In preeco | data protection, contacts can be created manually or added via Excel import. When editing existing contacts, a checkbox lets you control whether changes are automatically applied to all linked documents. Deleting contacts removes them from the contact list, while they remain in existing documents – alternatively, contacts can be replaced by others, whereby all links are automatically updated.
You will find contacts under "Collaboration > Contacts". Here you have a central overview of all saved contacts.
Adding contacts
You can create contacts manually under "Collaboration > Contacts > New > Create contact". Alternatively, several contacts can be imported simultaneously from an Excel list. To do so, use "Collaboration > Contacts > New > Import from XLSX".
Editing contacts
To change an existing contact, open it under "Collaboration > Contacts" and click on "Actions > Edit". Under the "Usage" section you will find the checkbox "Update documents?". If you activate this checkbox, all changes to the contact are automatically applied to all already existing documents in which this contact is used. Without activation, the changes apply only to the contact itself, while existing documents remain unchanged.
Deleting contacts
To delete a single contact, go to "Collaboration > Contacts", select the desired contact and click on "Actions > Delete". The contact is removed from the contact list, but remains recorded in all already existing documents.
Under "Actions > Replace and delete" you can delete a contact and at the same time replace it with another existing contact. This is particularly helpful if a contact was created twice, a contact person has changed or contact data is to be consolidated. After selecting this option, you choose a replacement contact. All documents that use the old contact are then automatically linked to the new contact. If you want to delete several contacts at once, open the overview table under "Collaboration > Contacts", mark the desired contacts and select "Actions > Delete".
Please note that deleted contacts remain recorded in already existing documents. Only the entry in the contact list is removed.
