Creating and managing a data collection workflow

Data collection workflows in preeco | data protection enable the standardized, reusable collection of information. Creation is reserved for administrators; usage can be controlled via user groups. Released and actively used workflows are protected against changes.

Data collection workflows enable the standardized collection of information within various document types in preeco | data protection. With these workflows you define structured question sets that are uniform and reusable.


Permission

The creation of data collection workflows is reserved exclusively for administrators. However, uploading and editing data collection workflows can also be enabled for other users by assigning the corresponding permission via the user groups. The "Data collection forms" function can be assigned as a permission in the user groups for this purpose.


Creating a new workflow

Navigate to "Settings > Data collection workflows" and click on "New". Assign a name for the workflow. Then, via "Edit", you reach the "Pages and questions" section, in which you define the structure of your workflow.


Release and editing

A newly created workflow must first be released by an administrator before it can be used by other users. As soon as a workflow is released and in use, it can no longer be changed. Editing is only possible again once it has been deleted for the respective users. As long as a workflow is actively used, it remains protected against changes in order to ensure the consistency of the data already collected.
