Configure pages, questions and actions in a data collection workflow

In a data collection workflow, pages and questions can be controlled with conditional logic. For single-choice and multiple-choice questions, answers can be linked to one or more actions, for example the automatic creation or connection of documents or the creation of a task.

Within a data collection workflow you define the content structure via pages and questions. Both levels support conditional logic, with which you can control when certain content is displayed.


Add pages

Using "Add new page" you create individual pages within the workflow. For each page you can specify whether it should be shown by default or only under certain conditions. To do this, select the option "Show when" or "Hide when". A window for conditional logic opens, in which you create individual conditions via "New". Each condition consists of the fields "Question", "Comparison" and "Value". You also determine whether all or at least one condition must be met.


Add questions

Within each page you add individual questions via "Add new question". An optional hint text can be added to each question. For each question you select one of the following answer types: single choice, multiple choice, text input or file upload. The same conditional logic as for pages is also available for questions.


Answers and actions

For the answer types "Single choice" and "Multiple choice", the "Answers and actions" section is available. Here you define the answer options and optionally associated follow-up actions. Using "New" you can add either a new answer or an action. Important: An action can only be added in connection with an answer that has already been created and is directly subordinate to it. It is possible to assign multiple actions to one answer, so that selecting a certain answer can trigger several follow-up actions simultaneously.

When adding an action, you assign a name and optionally a hint text. Then you select the desired action type. The following action types are available:

  • Create new document with name of type X
  • Load sample documents
  • Duplicate document
  • Connect document
  • Load data collection forms
  • Create task

This way you can trigger a follow-up action in the system directly from an answer, for example the automatic creation of a data processing system when a certain question is answered with "Yes".
