Sort, duplicate, and delete inspection items

When an audit covers many similar units – several sites or identical applications – you maintain the inspection item list from the menu on each entry. This guide shows how to sort inspection items by drag and drop, copy them with “Duplicate” including their checklists, and delete them safely.

As soon as an audit covers several sites or many similar applications, maintaining the inspection item list becomes the actual work. Using the menu on each entry in the “Inspection items” section, you can sort, duplicate, and delete inspection items – without rebuilding every unit from scratch.

Prerequisites

  • You have access to the audit via the organisation assignment or via the “All organisations” setting.
  • You have permission to edit audits.
  • You are in the audit detail view, in the “Inspection items” section.

Change the order of the inspection items

  1. In the “Inspection items” section, point to the icon in front of the designation of the inspection item.
  2. Drag the entry to the position you want.
  3. Drop the entry. The changed sorting is saved immediately – no separate save is needed.

Duplicate an inspection item

  1. Open the menu on the inspection item you want to copy.
  2. Select “Duplicate”.
  3. The copy appears in the “Inspection items” section – including the assigned checklists and their requirements. This is worthwhile when several similar units have to be audited, for example several identical applications at different sites.
  4. Open the copy and use “Edit” to adjust at least the “Designation” and, if required, the “Data processing systems”, so that the assessment is anchored to the correct system.

Create a subordinate inspection item

  1. Open the menu on the parent inspection item.
  2. Select “Add”. The new inspection item is created below the current entry.

Delete an inspection item

  1. Open the menu on the inspection item concerned.
  2. Select “Delete”.
  3. Confirm the security prompt. The inspection item is permanently removed – together with the assigned checklists, requirements, and hazards. Any answers already entered will be lost.

Practical tip

First build one fully maintained model inspection item for a single site, then duplicate it for the remaining sites. That way all units receive the same checklists and requirements, and the results stay comparable across sites and audit cycles – the basis of any robust audit sequence in accordance with ISO/IEC 27001, BSI IT baseline protection, or CISIS12. A hierarchy such as “Site > Business unit > Application” keeps the list navigable and results in a comprehensible table of contents in the PDF export.
