Create an AI compliance check
How to create a new AI compliance check in preeco: choose a creation option, enter a designation and use the association settings to define the scope across one or more organisations.
An AI compliance check classifies a specific AI system under the AI Regulation in five structured steps. This guide covers starting the check and defining its scope – the classification itself is completed afterwards in the detail view.
Prerequisites
- You have permission to create AI compliance checks.
- You are active in the desired organization – alternatively, you have access to “All my organizations”.
- You know which AI system is to be checked, so that you can give it a descriptive designation.
Step by step
- Open the overview of AI compliance checks and click the arrow icon at the top right next to the “New” button to open the selection menu.
- Choose one of the creation options:
- “Create AI compliance check” – starts an empty check.
- “Load from sample documents” – applies a prepared template as a starting point.
- “Upload file” – creates the check based on a file to be uploaded.
- In the “AI compliance checks” dialog, enter the “Designation” under “General”, for example
Applicant Matching System HR Cloud. - Under “Association”, in the “Organisations” section, select one or more organizations to which the check should be assigned. This defines the scope of the check.
- If the check applies company-wide, activate “All organisations” instead and note the displayed message: this setting grants access to all organizations and may result in users gaining access to documents for which they would otherwise not be authorized.
- Click “Create”. Use “Cancel” to discard the entry.
What happens after creation
preeco opens the detail view of the new AI compliance check. Use the “Edit” button there to complete the remaining information – in particular the link to one or more AI systems in the “AI systems” section, the “Protective measures” and the five check steps. The creation form itself contains only the “Designation” and “Organisations” fields.
- The activity history logs the creation of the check.
- The full-text search is updated so that the check can be found.
- Observers and assigned editors receive a notification.
- The number of documents and the inheritance information for sub-organizations are recalculated.
Practical tip
Assign a clear and descriptive designation that identifies the AI system unambiguously – use Applicant Matching System HR Cloud rather than just Matching. This makes the check easier to find later, easier to assign in reports, tasks and activities, and more dependable as evidence within your ISMS.
