Collecting evidence without a user account: requesting records via link

In the ISMS Cockpit, evidence for requirements can be requested directly via a link, without the person asked needing their own user account. Alternatively, you can also upload records yourself and optionally add a validity date. For evidence with a limited validity period, such as certificates, it is advisable to store a "Valid until" date so that upcoming renewals stay in view in good time.

Evidence proves that a requirement has actually been implemented. Often, however, the appropriate record is not held by you but by a colleague or a service provider. Instead of collecting files by email, you request the evidence directly in the ISMS Cockpit – the person asked uploads it via a link, entirely without their own user account.

Requesting evidence via link

  1. Open the requirement: In the "Requirements" tab, click the relevant requirement to open its detail view and switch to the "Evidence" section.
  2. Request evidence: In the "Evidence" section, click "Request". Enter the person to be asked as well as the desired details and send the request.
  3. Upload without an account: The person asked receives a link via which they can upload the evidence – without registering or logging in. As soon as the record has been uploaded, it appears in the "Evidence" section of the requirement.

Uploading evidence yourself

If you already have the record, click "New" instead, enter a designation, upload the file, optionally set a "Valid until" date and click "Save".

Tip: For evidence with a limited validity period (such as certificates), always set a "Valid until" date. This way you keep track of which records need to be renewed soon.
