Show the description field in printed documents

The description field can be shown or hidden per document type in the document settings. Open the settings, select the document type, activate the Show description in document option and save the change. It applies to all future PDF and Word exports of this document type; the {DESCRIPTION} placeholder inserts the description into headers or footers.

Context

In preeco | data protection, the PDF and Word exports of all document types can be designed centrally. If you want to make a general introduction or explanation visible in the export, you can show the description field per document type.

Solution

Yes, the description field can be shown or hidden per document type in the document settings.

  1. Click Settings in the left sidebar.
  2. Select the entry Document settings in the settings menu.
  3. In the Document types section, click the desired document type (e.g. Processing activities, Audits or Checklists) to open its detail page.
  4. Click Edit in the top right.
  5. Set the Show description in document option to Yes.
  6. Click Save.

The setting affects all future PDF and Word exports of the selected document type.

Notes

  • The setting applies separately to each document type. Therefore repeat the steps for all document types in which you want to show the description.
  • In the Header and Footer fields, the placeholder {DESCRIPTION} is available to insert the description text automatically.
  • Logo, address and legal details come from the Organizations area and are filled in automatically via the placeholder {COMPANY}.
