Resolving text module duplicates with AI
Under “Settings > Text modules”, “AI actions > Resolve duplicates” lets the AI find text modules in a category that say the same thing. You run applicable suggestions together with “Replace and delete” and review the rest one by one in “Review proposal”. Available to administrators with an AI integration set up.
Video transcript
With the AI action “Resolve duplicates”, the AI searches a text module category for modules that say the same thing, even when they are worded differently. You review the suggestions and see in advance which module remains. Nothing changes until you confirm.
Prerequisites
- You are an administrator.
- An AI integration is set up for your team under “Settings > AI provider”. The short name and text of the checked text modules are sent to the AI provider.
Get suggestions
- Open “Settings > Text modules”.
- Click “AI actions” above the table and select “Resolve duplicates”. The side panel “Resolve duplicates using AI” opens.
- Choose the “Text module category”. The field below shows how many modules the AI will check.
- Optionally, enter “Additional notes” on what the AI should pay attention to. Do not enter personal data there.
- Click “Next” and confirm with “Yes, get suggestions from AI”. This can take a few minutes; keep the window open.
Review and apply suggestions
- The “Suggestions” step lists the “Duplicates found” with the columns “Remains”, “Organisation assignment”, “To be replaced”, “Uses”, “Notes” and “Status”.
- Suggestions with the status “Applicable” are preselected. Click “Replace and delete” and confirm to apply them together.
- Open suggestions marked “Check individually” or “Not applicable” by clicking the row. In “Review proposal”, the “Justification” names the shared statement and the differences in wording. Under “Result”, use “Replace with” to choose which module remains, and adjust its text, organisation assignment and confidentiality class if needed.
- Click “Replace and delete”, or hide the suggestion with “Reject”; the modules then stay unchanged.
“Replace and delete” cannot be undone. All uses move to the remaining module and the others are deleted. If the AI finds nothing, a message says no duplicates were found.
Practical tip
Look closely at suggestions with the note “Different confidentiality levels”: the remaining module takes the confidentiality class of the result. Modules with an identical name in several organisations can still be merged without AI using the duplicate action on the module’s detail page.
