Editing tasks in preeco | data protection – access rights and affiliation

An assigned task in preeco | data protection can only be edited if the assigned person belongs to all organizations the task – or the linked processing activity – is assigned to, and has the matching permission. If access to one of the assigned organizations is missing, editing is blocked despite the assignment. The remedy is either to extend the person's organization affiliation or to adjust the affiliation of the processing activity.

Context

In preeco | data protection, tasks can be assigned to individual users. Occasionally an assigned task still cannot be edited or marked as completed – even though the person belongs to the corresponding user group. This article explains the cause and shows the solution.

Cause

Permission management in preeco | data protection is based on two pillars: the user group (which functions may a person perform?) and the organization assignment (for which organizational units do these functions apply?). An assigned task can only be edited if the person not only holds the matching permission, but also has access to all organizations the task – or the linked processing activity – is assigned to. If a processing activity is assigned to several organizations, a person without affiliation to all of these organizations lacks access – the linked task can then not be edited.

Solution

So that an assigned task can be edited, the person must belong to all organizations the task or the linked processing activity is assigned to. Proceed as follows:

  • Check which organizations the processing activity is assigned to in preeco | data protection (the Affiliation section of the processing activity).
  • Make sure that the person who is to edit the task belongs to all of these organizations and has the permission to edit tasks.
  • Alternatively, adjust the affiliation of the processing activity so that it is only assigned to the organization the person works in.

Notes

Assigning a task to a person is not affected by the organization assignment: you can assign a task to anyone at any time. Whether it can actually be edited, however, depends on the affiliation to the organizations concerned and on the matching permission. Therefore coordinate the assignment of the processing activity with the responsible users in order to avoid access problems.
