Assigning multiple user groups, correcting email addresses and SPF record errors
A user always belongs to exactly one user group; if required, you create additional groups with the matching permissions. You correct incorrect email addresses by sending a new invitation and then removing the faulty account. You maintain the sender address under Settings > Email; SPF errors have to be fixed in the DNS configuration of your own domain.
How can I assign people to several user groups?
Every user is assigned to exactly one user group in order to avoid competing configurations. If necessary, you can create further user groups with the desired permissions under Settings > User groups and permissions and assign them to a user.
How can I correct incorrect entries for users?
First name and last name as well as the email address are managed by each user themselves in their profile and cannot be changed by administrators. In the case of a typing error in the email address, use Invite user under Settings > Users to invite a new user with the correct email address. Then remove the faulty account via Actions > Remove access to team. If a successor is required in the process, select the correct, newly created account.
How can I store my own email address for sending?
You define the sender address for emails from the application under Settings > Email in the Email sender and email signature section. During entry, an error message such as "The domain does not have a valid SPF record" may appear. This error is not caused by the application but by the DNS configuration of the domain. Clarify with your IT colleagues whether the SPF entry of the domain can be adjusted or a corresponding mailbox can be provided for sending.
