Adding the cookie policy to your privacy notice
A chapter of the privacy notice with the master data “Cookie Policy” (via “Edit > Edit text content > New > Add master data”) always shows the most recently approved version of the linked cookie banner with its services, purposes and cookies. The new version is published with the next approval of the privacy notice; the cookie policy section shows which version is published.
The cookie policy lists the services of your cookie banner with provider, purpose, cookies and their duration, and third country. You do not write it by hand: a chapter of your privacy notice with the master data “Cookie Policy” always shows the most recently approved version of the linked cookie banner.
Prerequisites
- The cookie banner is linked to the privacy notice. You set this when setting up the banner or via “Edit” on the cookie banner, in the “Privacy notice” section under “Link to”. A privacy notice can be linked to only one cookie banner.
- The cookie banner has been approved at least once. Until then the chapter stays empty.
- Your user group may edit and approve the privacy notice.
Create the “Cookie Policy” chapter
- Open the privacy notice and click “Edit” at the top right.
- In the “Edit text content” section, click “New” and select “Add master data”.
- Enter the “Heading”, for example “Cookies and similar technologies”, and select “Cookie Policy” under “Master data”.
- Click “Apply”, move the chapter to its place if needed and save the privacy notice.
In the privacy notice preview, the chapter shows the table of services with “Service”, “Provider”, “Purpose”, “Cookies (duration)” and third country, in the language of the privacy notice. If the cookie banner has no texts in that language, the cookie policy appears in the banner’s first language.
Take over a new banner version
- Approve the cookie banner after a change. The “Cookie Policy” chapter then shows the new version automatically; you do not need to copy anything.
- On the privacy notice’s detail page, check the cookie policy section. It names the linked cookie banner, the chapters containing the cookie policy and which version is published, for example that version 3 will appear with the next approval of the privacy notice.
- Approve the privacy notice. Only then does the new cookie policy appear in the published privacy notice.
The same overview appears on the cookie banner’s detail page in the “Privacy notice” section. If the privacy notice has no chapter with the cookie policy yet, the section points this out.
Practical tip
Approve the privacy notice every time you approve the cookie banner. That way the cookie banner on your website and the published cookie policy always match the same version, and services you add are described in both.
