Configure Pages, Questions and Actions in a Data Collection Workflow
In a data collection workflow, pages and questions can be controlled using conditional logic. For single and multiple choice questions, answers can be linked to one or more actions, such as automatically creating or connecting documents or creating a task.
Within a data collection workflow, you define the content structure through pages and questions. Both levels support conditional logic, which allows you to control when specific content is displayed.
Adding Pages
Use "Add New Page" to create individual pages within the workflow. For each page, you can specify whether it should be displayed by default or only under certain conditions. Select the option "Show when" or "Hide when" for this purpose. A conditional logic window opens where you can create individual conditions via "New". Each condition consists of the fields "Question", "Comparison" and "Value". You also specify whether all or at least one condition must be met.
Adding Questions
Within each page, you add individual questions via "Add New Question". An optional hint text can be added to each question. For each question, you select one of the following answer types: Single Choice, Multiple Choice, Text Input, or File Upload. The same conditional logic as for pages is also available for questions.
Answers and Actions
For the answer types "Single Choice" and "Multiple Choice", the "Answers and Actions" section is available. Here you define the answer options and optionally associated follow-up actions. Via "New", you can add either a new answer or an action. Important: An action can only be added in connection with an already created answer and is directly subordinated to it. It is possible to assign multiple actions to an answer, so that selecting a specific answer can trigger multiple follow-up actions simultaneously.
When adding an action, you assign a label and optionally a hint text. Then you select the desired action type. The following action types are available:
- Create new document with label of type X
- Load template documents
- Duplicate document
- Connect document
- Load data collection forms
- Create task
In this way, a follow-up action in the system can be triggered directly from an answer, for example automatically creating a data processing system when a specific question is answered with "Yes".
