Create and manage data collection workflows

Data collection workflows in preeco | datenschutz enable standardized, reusable data collection. Creation is reserved for administrators, while usage can be controlled via user groups. Approved and actively used workflows are protected from changes.

Data collection workflows enable the standardized collection of information within various document types in preeco | datenschutz. With these workflows, you define structured question sets that are uniform and reusable.


Permission

The creation of data collection workflows is reserved exclusively for administrators. However, uploading and editing data collection workflows can also be enabled for other users by assigning the corresponding permission via user groups. The "Data collection forms" function can be assigned as a permission in the user groups.


Create a new workflow

Navigate to "Settings > Data collection workflows" and click on "New". Assign a name for the workflow. You can then access "Edit" to go to the "Pages and questions" section, where you define the structure of your workflow.


Approval and editing

A newly created workflow must first be approved by an administrator before it can be used by other users. Once a workflow has been approved and is in use, it can no longer be modified. Editing is only possible again once it has been deleted by the respective users. As long as a workflow is actively used, it remains protected against changes to ensure the consistency of already collected data.
