Statutory deadlines are tracked automatically for every report – acknowledgement of receipt within 7 days and feedback within 3 months under the HinSchG – so no deadline is missed. The dashboard adapts to your user role and responsibilities – each user receives a personalized view of the reports relevant to them.
CHECKLISTS
preeco | whistleblower includes predefined, structured checklists based on the legal requirements of the HinSchG. Additionally, you can create your own organization-specific checklists and assign them to specific areas of application – when a report is received, the appropriate checklist is automatically activated. You are not limited to the application areas of the HinSchG: freely definable categories with matching checklists let you run further internal complaint and compliance procedures through the same reporting channel. This makes it easy to add a dedicated category for reports about the use of AI – a case type for which Article 87 of the EU AI Act refers to the EU Whistleblower Directive.
STATUS TRACKING AND DOCUMENTATION
Track the processing progress of each checklist in real time. Mandatory fields ensure that a report can only be closed when all required steps have been completed. Comments and notes per checkpoint are stored durably and fulfill the accountability obligations under the HinSchG. The case-related timeline is immutable: messages from whistleblowers and system entries can neither be edited nor deleted; edited or deleted internal comments generate their own entry with time and person. In addition, a team-wide activity log documents every change across all reports – with old and new value, time, and acting person; it is visible exclusively to administrators, cannot itself be altered, and its retention period is configurable per team (3 to 36 months or unlimited). It also records access by the reporting office – who opened or exported a report and when. Access by whistleblowers is deliberately not logged: to protect them, preeco does not write any system log files that could allow conclusions about their identity.
TEXT TEMPLATES
preeco | whistleblower offers a complete text template module for standardized and efficient communication with whistleblowers. The templates are used directly in the secure communication area: whistleblowers sign in with their report ID and password, so follow-up questions and status updates are possible even for fully anonymous reports – without lifting anonymity. All text templates are centrally stored, categorized, and available to all case handlers. Optionally, the AI feature drafts messages – either as a reply to the reporting person or as an internal comment – which land as editable drafts in the message field and are only sent after review.

Not only the reporting form but the entire administration interface of preeco | whistleblower is available in up to 26 languages. Case handlers choose their preferred language individually – ideal for international organizations and multilingual teams.
FAQ
The software supports the deadlines of the German Whistleblower Protection Act (HinSchG): seven days for the acknowledgement of receipt and three months for feedback. You set the automatic deadlines in days for each organization; the deadline and follow-up date can be overridden for each report. The acknowledgement of receipt is scheduled automatically in the secure area when a report arrives and is then published. On the dashboard, cards such as open deadlines and deadlines in the next 14 days show what is coming up.
Each report has a main user and, if needed, further users. Case handlers gain access only through this explicit assignment; it can be withdrawn at any time, and both steps are logged. The dashboard shows unassigned reports, the reports assigned to you and, for authorized roles, the workload per main user. Whenever the whistleblower sends a new message, the responsible users are notified.
On two levels: as a timeline in each report and in the team-wide activity log. Messages from the whistleblower, messages from the reporting office to them and system entries such as status changes or deadlines can be neither edited nor deleted. Internal comments can be edited or deleted, but the change itself appears as an entry with the person and time. Field changes are recorded with the old and new value. For your archive, you can export the complete report including its history as PDF, DOCX or ZIP.
No. Internal comments by the reporting office are not visible in the whistleblower's secure area. In the Activity and messages tab, they sit alongside the correspondence and system entries in one chronological timeline, so your team handles the case in one place. Message contents and attachments are stored encrypted, and replies to the whistleblower can be written using text templates.
You set a deletion date for each report, on which it is deleted automatically. Seven days beforehand, the responsible users receive an email reminder with the report ID, date and a link to the report, leaving room for a final review. The related log entries are removed together with the report. If you set a report to Closed, Archived or Rejected and no date has been entered yet, the system automatically locks the whistleblower's access four weeks later.
Optionally, and with the AI provider of your choice: the AI summarizes a report, suggests risks and measures, and drafts messages to the whistleblower or internal comments. Suggestions are never applied automatically, and the AI does not change a status or set a deadline – you work with AI and your team, and the decision stays with the reporting office. The function is switched off on delivery and must be enabled for the team and for each person. The whistleblower's name and email address are not transmitted.
Yes. The reporting form is available in up to 26 languages per organization. If a report arrives in a language nobody on the team speaks, the optional DeepL integration translates report contents and correspondence – including the ongoing dialogue with the whistleblower. Each case handler chooses the language of the user interface individually.
