The reporting form is publicly accessible via a unique URL. Whistleblowers do not need to register or log in beforehand. Access is designed to be low-threshold and accessible. The URL can be shared on your website, intranet, or flyers – and a QR code can be generated directly, enabling low-threshold access at physical locations and on posters as well.
STEP-BY-STEP WIZARD
A user-friendly wizard guides whistleblowers through the reporting process. Each step is clearly structured and easy to understand. Help texts and frequently asked questions provide guidance. The intuitive operation increases acceptance and usage. In addition to text, documents, images, and screenshots can be added as attachments, and voice messages can be submitted directly with the report. Voice messages fulfil the oral report under section 16 (3) HinSchG: recorded directly in the browser and available for playback before submission, with no phone connection and no forwarding to a voice service provider – even for fully anonymous reports. Reports received outside the form also converge in the same system: reports taken by phone, in writing, or in a personal meeting are documented by the reporting office as a manually created report – including conversation records or voice recordings, which are stored encrypted as a file attachment on the respective case.

They can: Office and PDF files often contain the author and company, and photos the GPS position and camera model. For each organization you can therefore specify that this metadata is removed from everything the whistleblower uploads – attachments in the reporting form, the voice message and attachments in the secure area. Files are cleaned before they are stored encrypted, and the file name is replaced with a neutral one. The setting is off by default, because metadata can also have evidential value and cannot be restored once removed.
For an anonymous report, the report ID and the self-chosen password are the only means of access. Without a stored email address they cannot be reset. After submission, the reporting form therefore explicitly asks the whistleblower to note down the report ID carefully. Providing an email address is voluntary: notifications are sent by email only if one was given – without it, no notification leaves the system and the conversation can only be read after logging in.

The software implements oral reporting under Section 16(3) of the German Whistleblower Protection Act (HinSchG) as a voice message recorded directly in the browser. You can publish your reporting office's phone number in the reporting form under the reporting office details.
