Automatic Linking to Processing Activities

The system checks for matching role, company, first name and last name between data recipient/supplier and DPA. Automatic linking ensures that all data processing is contractually secured.

Automatic Revision and Deadline Monitoring

Upon approval or signing, an immutable revision (PDF/ZIP or HTML) is created automatically. Two revisions can be compared visually – additions in green, removals in red – and verified for integrity via stored SHA-256 checksums. Follow-ups remind you of contract renewals or cancellation deadlines.

Filterable Overviews

All contracts and consent declarations centrally in filterable overviews. Status, contracting parties, duration and last update at a glance.

Contract text with signatures and timestamps exportable as PDF or DOCX. Complete export packages including attachments are provided as ZIP.

Signature Workflow with Multiple Signatories

Record any number of signatories per contracting party. Each signatory receives their own link to view and sign the contract; the contract only counts as signed once all registered persons of both contracting parties have signed. Reminders are sent specifically to outstanding signatories, and the “Signatures” column in the overview can be filtered by pending signatures. The detail page shows the signature status for each contracting party.

Update Sub-processors Across Multiple Contracts

Maintain the sub-processor list once and use it to replace the sub-processors of all selected contracts. Notification to the contracting parties of signed contracts is pre-filled from templates – with placeholders for added, removed and changed sub-processors. Before saving, a summary shows additions, removals and changes per contract; each change creates an entry in the activity log. Contracts that are currently out for signature or archived are excluded from the bulk update; the notification includes an attachment per contract with the sub-processor list applicable to it.
