For anyone who looks after more than one reporting office: external ombudspersons, law firms and compliance service providers that run whistleblower protection for their clients, as well as groups of companies with several subsidiaries or sites. Each organization gets its own reporting form with its own URL, plus its own areas of application, texts, languages and deadlines. The organization selector lets you switch between organizations quickly.
Within a team, organizations are separated logically: memberships determine which organizations a person can see at all. In the cloud, your data is also logically separated from other customers' data. If you need physical separation, choose the private cloud or on-premises; there, different clients can additionally be separated physically in their own teams.
Yes. In every hosting option, the reporting form carries its own logo per organization, and in the cloud your logo also appears inside the application. From the private cloud upwards, white-labelling goes further: your own domain such as reporting.your-company.com, your logo from the login screen onwards, your own legal notice and privacy notice, custom styling via CSS and, if you wish, your own mail server. Email templates, signatures and the sender can be customized.
Administrators see all reports in the team. Ombudspersons and deputy ombudspersons see all reports of the organizations they are assigned to. Case handlers see only the reports individually assigned to them, and only within their own organizations. An assignment can be withdrawn at any time; both assignment and withdrawal are logged. Whistleblowers see only their own report.
Create a separate organization for each country – with its own areas of application, texts, legal links, languages and deadlines. preeco | whistleblower is designed for the German Whistleblower Protection Act (HinSchG) and EU Directive 2019/1937 and does not ship country-specific rule sets. Whether a national implementation has different requirements is for you or your legal advisers to assess; the software then reflects the result through each organization's configuration.
Under Section 15 HinSchG, the reporting office must act independently and free of conflicts of interest. If a report concerns senior management or the internal reporting office itself, the intended route is handling by an external ombudsperson or law firm in a separate team; multi-tenancy and white-labelling are designed for exactly this. Case handlers who are involved are simply not assigned to the report. The software does not check for conflicts of interest automatically – exclusion remains an organizational decision.
Before it expires, the system sends a reminder that names the organization concerned. Once the subscription has expired, the reporting form is deactivated automatically and whistleblowers see a notice instead of the form. Cancellations are confirmed automatically by email to both the customer and the provider. This helps service providers keep track of terms even across many clients.
